Top Tips to Starting the Planning of an Event as a Team

As a new team coming together it is natural to come across some boundaries and issues in terms of personality and creative ideas. For me personally it was a lot easier to do with this team than previous teams I have worked with due to the fact I worked with Hannah and Gemma in a previous event. The rest of the team therefore fitted into and around an already established group,which is therefore easier than all new group dynamics. Now onto the tips for event planning as a new team.
1. Get to know everyone within the team. This doesn't just mean knowing their name but gaining an initial understanding of the way they think, such as finding out who the creative people are and who the academic people are.
2. Don't be afraid to be honest about your own weaknesses. Hiding your weaknesses from the people in your team may be detrimental in the future due to the fact that you may try to overcome these. In our first meeting everyone was open and honest about where their weaknesses were and we could therefore allocate the correct job roles for everyone.
3. Do a basic analysis of your event or task. Start to look at what you will need, what you already have and what you can outsource to other people, such as family and friends.
4. Look at ways of engaging your future volunteers into the team. Volunteers are such a massive part of the overall event team and finding the best ways to engage them and making them feel a part of the team. This will lead to an increase in their performance. In my volunteering experiences I have never really been engaged with until I was needed and therefore felt I was more of a tool than an asset to the team. This is why for our volunteers we have created plenty of opportunities to engage with the team and help out.
5. Discuss all possibilities, at this stage there should no worry about budget and goals. Just create ideas for everything and do not disregard anything at this stage as it could come in helpful later on in the process.
6. Have fun. This should be an enjoyable process working with people. The event creation can be stressful however it brings the whole group together so it is a lot more cohesive. Everyone always misses the event day once it is finished, so make the most of this opportunity and enjoy each part of it.
We, as a team, welcome anyone to come and join our volunteering team and join the Rox spectacular family for this year. There are plenty of opportunities to work with us over the next 8 months and have a range of job roles available.
